Who we are
Reforium ("we", "us") operates this website and the housing request and partner application forms on it. For any privacy question, contact contact@reforium.com.
What we collect
Through the housing request form on companies.html, we collect: your name, company, work email, phone number (optional), start and end dates, number of guests, whether a separate bedroom is needed per guest, office or site postcode, purpose of stay, budget (optional), whether an invoice to the company is needed, and any notes you add.
Through the partner application form on partners.html, we collect: your name, company, email, phone number, the areas and zones you cover, your bedroom mix and number of homes, minimum stay accepted, typical nightly rate, the booking system you use, your limited company and VAT status, planning and 90-night rule status, insurance details, and a listing link.
We also collect basic technical data when you visit the site, such as pages viewed, through privacy-friendly analytics (see Analytics below).
Why we collect it
We use this data to:
- Match a company's housing request to a suitable operator
- Assess and manage partner applications
- Contact you about a request or application
- Keep basic records of enquiries and bookings we helped coordinate
The legal basis for this processing is our legitimate interest in running the service you have asked to use, and, where a partner agreement or booking follows, to take steps towards or perform that agreement.
Who we share it with
If you submit a housing request, we share the relevant details with the operator(s) whose properties we shortlist for you, so they can respond to your request. If you apply to become a partner, your application details are reviewed internally by Reforium. Form submissions are processed by FormSubmit (formsubmit.co), which forwards them to us by email, and visitor statistics are collected by Plausible Analytics, which is anonymous and cookie-free. Both process data on our behalf.
We do not sell personal data to third parties.
How long we keep it
We keep enquiry and application data for 24 months after your last contact with us, after which it is deleted, unless we need to keep it longer for accounting or legal reasons (for example, records relating to invoices or a partner agreement).
Analytics
This site uses Plausible Analytics, a privacy-friendly analytics tool that does not use cookies and does not track individuals across websites. See Plausible's privacy policy for how that data is used.
Your rights
Under UK GDPR, you have the right to:
- Ask what personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your data
- Ask us to restrict or object to certain processing
- Ask for your data in a portable format
To exercise any of these rights, including asking us to delete your data, email contact@reforium.com. We will respond within one month. You can also complain to the UK Information Commissioner's Office (ICO) if you are unhappy with how we have handled your data.
Changes to this policy
We may update this policy from time to time. The version on this page is always the current one.
